Invite admin users to Access Attract Evo

Learn how to invite new admin users and manage their roles and permissions in Access Attract Evo.

Overview

Manage your admin users following the enablement of Access Attract Evo. Admin user management has moved from the Volcanic Content Management System (CMS) to Access Evo. This means that inviting new admin users and managing their roles and permissions is now done centrally in the Access Evo dashboard rather than within the CMS.

This change brings admin user management and product access controls together in one place, providing a more consistent and centralised way to manage your team.

Before you start

Before inviting or managing admin users, make sure you have the following in place:

  • Access Attract Evo must be enabled for your site before these changes apply.

  • You will need access to the Access Evo dashboard to complete any admin invitation or role management tasks.

  • Understand the difference between organisation-level roles and product-level roles before inviting users. These are separate settings and both may need to be configured.

📌 Note: Assigning an organisation-level role, User or Administrator, doesn't automatically grant or remove a user's access to Volcanic. Volcanic product access must be set separately through Manage role.


Enter Access Evo from the CMS

To manage admin users, you first need to open the Access Evo dashboard from within the CMS.

  1. Go to the CMS.

  2. Click the Access Button in the top-left corner of the screen.

  3. Select Access Evo.

  4. You will be redirected to the Access Evo dashboard.

From here, you can navigate to the Members area to invite users and manage roles.


Inviting a new admin user

Inviting a new admin user is a two-step process. You first send the invitation and assign an organisation-level role, then configure their Volcanic product access separately.

Send the invitation

  1. Visit your Volcanic admin dashboard.

  2. Click the Access Button in the top-left corner to open Access Attract Evo.

  3. Select the dropdown next to your account name, then select Members.

  4. Click Add.

  5. Enter the new admin user's details.

  6. Assign their organisation-level role and click Add to submit.

Organisation-level role options

When inviting a new user, choose one of the following organisation-level roles:

Elevated access at organisation level in Access Evo.

📌 Note: These roles apply at organisation level only. They do not by themselves define the user's Volcanic product access. After inviting the user, you must also configure their Volcanic access through Manage role if they need to log in to Volcanic.


Assign a Volcanic product role

After the invitation has been sent, assign the user's Volcanic-specific access:

  1. In Members, find the newly added member.

  2. Click the three dots next to their name.

  3. Select Manage role.

  4. Find Volcanic in the product list.

  5. Use the dropdown to select the appropriate role. For example, User.

  6. Click Save Changes.


Managing roles for an existing user

To update an existing user's Volcanic access:

  1. Open the Access Evo dashboard.

  2. Go to Members.

  3. Select the admin user from the list.

  4. Click Manage role.

  5. Find Volcanic.

  6. Select the required role from the dropdown.

  7. Click Save Changes.

When managing a user's Volcanic access through Manage role, the available settings control whether the user can log in to Volcanic.

📌 Note: If a user needs their Volcanic access removed, set their Volcanic product role to No Access in Manage role. This suspends them in Volcanic.


What to do next

Once you have completed admin setup, review the following to ensure everything is correctly configured.

  • After enabling Access Evo, review your existing admin users to ensure their Volcanic product roles are correctly configured in Access Evo.

  • Any new team members requiring CMS access must be invited through Access Evo. The previous CMS-based invitation process no longer applies.

  • If you are unsure which Volcanic role to assign to a user, contact your Customer Success Manager for guidance.

FAQs

Q1: Where do I go to invite a new admin user now?

  • Answer: New admin users are invited through the Members area in Access Evo. You can access this by clicking the Access Button in the top-left of the CMS and selecting Access Evo.

Q2: What is the difference between an organisation-level role and a product-level role?

  • Answer: An organisation-level role (User or Administrator) controls the user's role across your organisation in Access Evo. A product-level role controls access to a specific product, such as Volcanic. These are separate settings — assigning one does not automatically configure the other.

Q3: If I assign someone as an Administrator at organisation level, does that give them Volcanic access?

  • Answer: No. Organisation-level roles and Volcanic product access are managed separately. After assigning an organisation-level role, you must also configure the user's Volcanic access through Manage role if they need to log in to Volcanic.

Q4: What happens if I set a user's Volcanic role to No Access?

  • Answer: The user becomes Suspended in Volcanic and will not be able to log in. To restore their access, update their Volcanic role back to Access in Manage role.

Q5: Can I still invite admin users through the CMS?

  • Answer: No. Following the enablement of Access Attract Evo, all admin invitation and role management must be completed in Access Evo, not in the CMS.

Q6: I can't find the Members area, where is it?

  • Answer: Go to the Access Evo dashboard via the Access Button in the top-left of the CMS. Once in Access Evo, select the dropdown next to your account name and choose Members.

Q7: What Volcanic product roles are available when I use Manage role?

  • Answer: The available Volcanic access settings are Access (makes the user Active in Volcanic) and No Access (suspends the user in Volcanic). The source documentation does not specify all individual product role options beyond these. If you require further clarification on available roles, please contact your Customer Success Manager.

Q8: Does this change affect how existing admins log in?

  • Answer: This article covers admin invitation and role management changes only. For information about login changes following Access Evo enablement, refer to the Access Identity Migration guide.
