Overview

This article helps you set up and manage your Diversity, Equity & Inclusion (DE&I) dashboard in Access Volcanic. Dashboard configuration lets you define which diversity characteristics you want to track, set meaningful benchmarks, and create custom dashboards tailored to specific clients, countries, or job disciplines.

This ensures your Diversity Dashboard displays the most relevant insights for your business and stakeholders.

Key benefits

  • Create custom diversity insights tailored to specific clients, countries, or job disciplines

  • Define clear targets and measure progress towards diversity goals

  • Generate meaningful reports that identify opportunities for improvement

  • Ensure global compliance and respect cultural differences across regions

  • Deliver transparent, accurate reporting that meets client expectations

Before you start

Before configuring your dashboard, make sure you have:

  • Admin access to the Access Volcanic platform

  • Diversity Question Settings configured (determines which questions applicants see and whether AI predictions are enabled)

  • Clients, countries, and disciplines set up under Reference Data in the admin area

  • A clear understanding of what diversity characteristics you want to measure

πŸ“Œ Notes:

  • Jobs must have the correct client, country, discipline, and seniority assigned for data to appear in your dashboards.

  • Learn how to configure diversity questions in the Diversity Question Settings Help Guide

You can access Dashboard Configuration in two ways.

From the admin area:

  1. Log in to Access Volcanic as an admin

  2. Click the Settings tab

  3. Under the Reference Data heading, click Dashboard Configuration

From the Diversity Dashboard:

  1. Click the Toggle to open Dashboard

  2. Click the red Configure Dashboards button at the bottom of your reports

Custom dashboards let you view diversity data for specific segments of your business. You can create dashboards filtered by client, country, or discipline.

  2. See the Custom Dashboards section near the top

  3. Select a filter type:

    • Client View: Choose from your client list

    • Country View: Select the country you want to view

    • Discipline view: Choose from your disciplines list (such as Accounting or Administration)

  4. Configure the relevant diversity characteristics, current workforce statistics, and targets

  5. Click Save to apply your configuration

πŸ“ŒNote: If you don't see a client, country, or discipline in the dropdown list, you'll need to add the page first.

What your dashboard shows

Once configured, your Diversity Dashboard provides:

  • Visual charts: Graphical insights showing applicant diversity data

  • Filterable views: View data by client, country, discipline, and (coming soon) seniority

  • Workforce baseline: Optional measure showing your current workforce composition

  • Diversity targets: Optional benchmarks to track improvements over time

  • Applicant pipeline diversity: Data captured from job applications, supplemented with AI predictions if enabled

  • Export options: Downloadable reports for sharing and analysis

Best practices

Follow these guidelines to get the most from your Diversity Dashboard:

  • Set clear objectives before collecting diversity data

  • Base goals on market data such as census data or LinkedIn Talent Insights

  • Regularly review dashboards to ensure they align with expectations

  • Communicate to applicants that diversity data is anonymised

  • Assign clients, countries, and disciplines to every job

πŸ€“Tip: Use your dashboard insights to identify patterns and opportunities, but always combine quantitative data with qualitative feedback to get the full picture.

FAQs

Q1: Why is my Diversity Dashboard empty?

  • Answer: Your dashboard may be empty because you haven't configured it yet, Diversity Question Settings aren't enabled, you haven't assigned clients, countries, or disciplines to jobs, there's insufficient applicant data, or jobs are being processed outside Volcanic.

Q2: Do I need to set diversity goals?

  • Answer: No, diversity goals are optional and can be disabled at any time.

Q3: Can I track data for a specific client?

  • Answer: Yes, you can configure a custom dashboard for any client in Dashboard Configuration.

Q4: How is diversity data collected?

  • Answer: Diversity data is collected through applicant self-reporting and, if enabled, AI predictions for gender, ethnicity, and age.

Q5: Can applicants skip diversity questions?

  • Answer: Yes, applicants can always skip diversity questions or select Prefer not to say.

Q6: What is Current Diversity?

  • Answer: Current Diversity is a workforce baseline you set manually in the configuration, used to compare against applicant data.

Q7: What if I can't find my client, country, or discipline in the dropdown?

  • Answer: You'll need to add it first under Reference Data in the admin area.

Q8: Will data updates affect my existing dashboard?

  • Answer: Yes, updates such as the new ONS-standard ethnicity categories are applied automatically across your system.

Q9: Will the dashboard work if I use an external applicant tracking system?

  • Answer: If your job applications are processed outside Access Volcanic (for example, through Vincere Engage or another system), your Diversity Dashboard may not display data. Contact your account manager to discuss possible integrations or consider routing applications through Volcanic.

Q10: Does the dashboard work with Vincere Engage?

  • Answer: Integration support for Vincere Engage is currently in development. Contact your account manager for the latest updates and expected availability.

Q11: Why do some diversity questions not appear in certain countries?

  • Answer: Some diversity questions cannot legally be asked in certain countries. The system automatically enforces global compliance based on local laws.

Q12: How much data do I need before the dashboard displays results?

  • Answer: Your dashboard will remain empty until sufficient applicant data has been collected. The exact amount depends on the number of applications and diversity characteristics you're tracking.

Q13: Can I see individual applicant diversity data?

  • Answer: No, all applicant data is anonymised and displayed only in aggregate form to protect privacy and comply with data protection regulations.
