Overview

This article helps you understand how to use the Diversity Dashboard in Access Volcanic to track diversity metrics, measure progress against goals, and create reports for internal reviews or client presentations. The dashboard lets you monitor up to eight diversity characteristics across your recruitment pipeline, filter insights by client or location, and export findings to share with stakeholders.

Accessing the Diversity Dashboard

You can access the dashboard from your admin area.

  1. Log in to Access Volcanic as an admin

  2. Locate the Diversity Dashboard panel on the right

  3. Toggle the dashboard On

Once on, you can use the filter options in the upper-right corner of the screen to view data by client, country, or discipline.


Understanding what you see

Dashboard graphs

The dashboard displays visual charts showing diversity data across the characteristics you've enabled. Each graph represents applicant data aggregated from your job applications.

Left charts (Current and Target)

Right charts (Applied, Short-List, Placed)

The left charts reflect the current and target goals you set in Dashboard Configuration.

These show your workforce baseline and diversity targets.

The right charts reflect the actual diversity characteristics of candidates who have applied for your jobs.

This data comes from completed Diversity Surveys or AI predictions.

What the data shows

The dashboard can display several types of information:

  • Applicant pipeline diversity shows data captured from Diversity Surveys completed by candidates after they apply.

  • Artificial Intelligence (AI) predictions provide optional supplementary data for gender, ethnicity, and age when confidence thresholds are met (if enabled in your settings).

  • Workforce baseline reflects your current workforce composition (optional, manually entered during configuration).

  • Diversity targets are optional benchmarks you can set to track improvements over time.

๐Ÿ“Œ Note: All data is anonymised and displayed only in aggregate form. Individual candidate diversity information is never visible to users.


Configuring your dashboard

Setting up diversity tracking

To enable diversity tracking, you'll need to configure which characteristics you want to measure in Dashboard Configuration.

Enabling diversity questions

To capture diversity data, you need to configure which questions applicants see through Diversity Question Settings.

Using filters

Filters help you view diversity data for specific segments of your business. Once you open the Diversity Dashboard, locate the filter dropdowns in the upper-right corner of the dashboard. Select your preferred client, country, or discipline, and the graphs will update to show data for your selection.

โš ๏ธ Important: Filters only work if jobs have these fields populated in the Job Specification form. Make sure you assign clients, countries, and disciplines to every job.


Exporting data

You can export diversity data as a PDF report or Excel file. Both export formats are password-protected, and you'll receive the password by email to your registered address shortly after the export is generated.

PDF report

A PDF report provides a visual snapshot of the graphs currently visible on your dashboard. To generate one, scroll to the bottom of the dashboard and click Get PDF Report.

Excel extract

An Excel extract provides anonymised, job-level data for deeper analysis. To generate one, scroll to the bottom of the dashboard and click Extract Excel.

โš ๏ธ Important: Exports reflect your current filters. If you want to export your complete dataset, clear all filters before generating the export.

Q1: Why is my Diversity Dashboard empty?

  • Answer: Your dashboard may be empty because:

  • Answer: No, diversity goals are optional and can be disabled at any time.

Q3: Can I track data for a specific client?

  • Answer: Diversity data is collected through Diversity Surveys that candidates complete after applying. If enabled, AI (Artificial Intelligence) predictions for gender, ethnicity, and age may supplement missing data when confidence thresholds are met.

Q5: Can applicants skip diversity questions?

  • Answer: Yes, applicants can always skip diversity questions or select Prefer not to say in the Diversity Survey.

Q6: What is Current Diversity?

  • Answer: Current Diversity is a workforce baseline you set manually in Dashboard Configuration, used to compare against applicant data.

Q7: What if I can't find my client, country, or discipline in the dropdown?

  • Answer: You'll need to add it first in the admin area.

Q8: Will my dashboard show individual candidate diversity data?

  • Answer: No, all data is anonymised and displayed only in aggregate form to protect candidate privacy.

Q9: Why aren't my filters working?

  • Answer: Filters require structured job data. Make sure you've added clients, countries, and disciplines in Reference Data and assigned them to jobs in the Job Specification form.

Q10: How do I export diversity data?

  • Answer: Scroll to the bottom of the dashboard and choose either Get PDF Report or Extract Excel. You'll receive a password-protected file, with the password sent to your registered email address. Allow a few moments for the file to generate and the email to arrive.

Q11: Does the dashboard work with third-party systems?

  • Answer: The dashboard only captures data from applications processed through Volcanic. Applications from third-party systems won't populate the dashboard (except for limited AI generation in specific cases), and candidate site registrations without a job application don't currently appear. A Vincere Engage integration is in developmentโ€”contact your account manager for updates or to discuss routing applications via Volcanic.

Q12: What is an RFP and why does it matter for diversity reporting?

  • Answer: An RFP (Request for Proposal) is a document organisations use when inviting suppliers to bid for contracts. Many RFPs now include diversity and inclusion requirements, so having dashboard data ready helps you respond quickly and credibly to tender requests.

Q13: Can I share diversity graphs directly with applicants on my website?

  • Answer: This feature is not available yet, with the launch date still to be confirmed. However, you can:

    • Manually share your diversity data with applicants by using the PDF and Excel exports from the dashboard.

    • Work with the Professional Services team to build a custom Diversity, Equity and Inclusion page for your website, which can be purchased using Access FlexPoints.

Q14: What is the diversity graph sharing toggle for?

  • Answer: The toggle you see in the dashboard is for a feature that allows you to automatically display diversity graphs on your candidate site and job application pages. Research shows that actively sharing diversity data with job applicants increases diversity reporting rates.

  • This feature is coming soon but is not yet available. In the meantime, you can manually share diversity data using the export options or by creating a custom Diversity, Equity and Inclusion page with the Professional Services team.
